I'm not sure what your workday is like, but mine is FULL of meetings. Here are a few problems I often face:
1) A meeting that was scheduled 1 month ago due to busy schedules and now everyone has forgotten what the meeting is about.
2) A critical attendee was left off the invite list.
3) Two critical meetings overlap with the same audience and no one knows which to attend, so neither meeting is effective.
These are just a few examples of meeting challenges. An unproductive half hour is always a bummer. Here are a few ideas you can use to ensure that your meetings are useful and run smoothly.
1) On Friday, Sunday or Monday morning look at your schedule for the week ahead and identify the following:
* Overlapping, critical meetings
* Meetings without a clear agenda
* Meetings with a clear topic but missing critical attendees
Do your best to resolve these issues well before the meeting.
2) Review your own meetings for anything that's redundant or unnecessary.
3) Ensure that your own meetings have an agenda.
4) If you have a conflict, decide which meeting is more important for you to attend. Then let the organizer of the meeting you won't attend know well in advance so they can choose to reschedule if they need your presence.
These tips are simple but they can help you stay on track with meetings. Set a reminder to yourself to do these things each week and you will definitely increase your meeting productivity!
